Organizing your inbox for a better email experience.

Learn how to filter unwanted mails and prevent clutter in your inbox.


We like to have our things organized and in place, but seldom make efforts to maintain order. Same applies to our email inbox too. We receive hundreds of mails everyday, spam included and yet do nothing to clear our inbox!



So, here are some tips to get things organized!

An inbox full of mails can sometimes get you confused and too much to handle. It is best to delete what you can, act on those that need immediate attention and file all those remaining.

Do you have several e-mail from the same party? Do you have e-mail from regular senders? Do you have some e-mail that is personal business and others that are more serious and therefore, you probably need to keep a copy on hand?

Organize
by adding more fields to emails.
Try using Priority, Sensitivity, Due by or Conversation.

Right click the column headings and select Field Chooser.

Select the field category.

Select the field you'd like to add and drag it to where you want it.

Click OK.

Create
your own fields:
Right click the column headings and select Field Chooser.

Click New.

Type the details of the new field.

Click OK.

Drag the new field to its position on the row of column headings

►Read your e-mail as time permits and then delete any e-mail that doesn't have content worth keeping for future reference. Then, empty your trash daily

►Color Code: You can differentiate your email messages at a glance.

Use colors to help sort your email. You can prioritize each message by color-coding it and many e-mail programs allow you to label e-mail by color when viewing a particular folder.

Create a folder called Follow-Up, Interesting or To Do. This is where you file some of the e-mail from your inbox that peaked your interest that you would like to review in more detail but just don't have the time.

Once you reviewed, either send them to another folder or send them to trash.

Save time and avoid oversight by choosing a system to keep track of e-mail messages that you need to act on.

Here are some thoughts:

  • Let your messages stay in your inbox until you've acted on them. Then file them.
  • Issues that may take some time to act on should be filed in a different area.
  • Drag the items you need to act on straight to your Tasks folder.

Empty your trash daily but before emptying your trash, you want to be sure to take a quick look-see just in case any of your filters inadvertently picked up on some terms that were included in e-mail that you possibly didn't want to trash.

The above tips when practiced daily will make the world of difference in keeping your inbox organized and clutter free.
